When should Fit4Jobs pre-placement screening be carried out?
Pre-placement screening, fit for work assessments, should only be carried out once an offer of employment has been made, before employment commences. Or when the employee is changing roles, locations or job responsibilities.
The purpose of pre-placement screening is to check new recruits are able to safely carry out their role, without harm to themselves or others. One in five employees now has an underlying health condition that limits their ability to work. Many of these are protected under the Equality Act (2010), meaning you have a legal duty to make reasonable adjustments where possible.
For example, if someone is on medication for a heart condition, they may not be able to safely operate certain machinery and might need more regular breaks. By understanding the risk profile of your employees before they start, you can reduce the risk of sickness or accidents. As well as comply with your duty of care to maintain Health & Safety regulations.

Fitness for work: Access to funding
If an employee’s pre-placement screening identifies a disability or condition, they could potentially access funding to support them.
Access to Work is a scheme that can fund people to help them stay in work if they have a physical or mental health condition or disability. Employees can apply up to six weeks before they start work if they have a written job offer.
The support available depends on their individual needs. They may be able to apply for a grant to help pay for practical support with work or help manage their mental health. This could pay for things like:
- Specialist equipment and assistive software
- Support workers like a job coach or interpreter
- The costs of travelling to work if they cannot use public transport
- Physical changes to their workplace, or home, if they work from home
This funding does not affect any other benefits, but as the employer, you may have to pay some costs up front and claim them back later.
Access to Work will not cover reasonable adjustments as these are changes employers must legally make to support individuals to do their job.

Fitness for work frequently asked questions
Why might a fitness for work assessment be needed?
There are many reasons why a fitness for work assessment might be required. An employee’s health condition may be hindering their ability to perform tasks at work or be made worse by the job. Someone might be about to join the organisation, and you might need to understand how you can accommodate any health conditions. There may be certain roles that could be unsafe for them or others to do. Or the individual may have a condition that could pose a risk to the community. If you are unsure whether a fitness for work assessment is required, please contact us to find out more.
Who should carry out a fitness for work assessment?
Fitness for work assessments should be carried out by qualified occupational health professionals. They can consider both the employee’s medical history and current health statements against the specific requirements of the job. The overall aim is to identify any health risks or limitations that may impact the individual’s ability to work safely. The purpose is not to exclude the individual from work, but rather to identify any reasonable adjustments that might be required to support them to remain in work. Employers have a legal right to consider and implement these recommendations, where it is practically reasonable to do so.
What happens during a fitness for work assessment?
The fitness for work assessor will review the employee’s medical history and may carry out functional assessments to evaluate the employee’s ability to meet the demands of their role. A physical examination may also be carried out to assess overall health, including cardiovascular, respiratory and musculoskeletal (MSK) systems. In some cases, a psychological assessment to evaluate the employee’s mental health may also be carried out. Following the fitness for work assessment, the occupational health professional will provide a report with their findings and recommendations. The assessment must be carried out in a way that respects the individual’s right to confidentiality. Medical information should only be shared with those who have a legitimate need to know.
