Staff absence management
An effective absence management system isn’t just about helping employees to recover as quickly as possible. It’s also about capturing the underlying reasons for absence to ensure you have the right absence management policies in place.
When anyone calls in sick, our day one absence management system captures the reason for the absence. Our professional nurses then provide employees with expert advice on managing their condition and triage them into further support as needed.

Professional support
When employees call our day one helpline, they speak to a professionally qualified nurse. As well as capturing the reason for absence, our nurses also provide employees with health advice on managing their symptoms. In addition to minimising the absence, this approach to absence management also makes employees feel cared for and supported.

Triage service
Identifying when employees need extra support is a key part of staff absent management. If an employee is struggling with a minor condition, such as a headache or muscle sprain, we advise them how alleviate symptoms to return to work. If the problem requires further support, we can triage them into our wider occupational health services or their GP.

Fast-track treatment
Our day one absent management system can be used as a standalone service or combined with our wider absent management services. These include fast-track access to physiotherapy and mental health support to reduce the risk of long-term absence. Employees are seen within days, instead of having to wait months, to help prevent acute problems from becoming entrenched.

Our approach to absence management
Every absence is recorded in our secure platform, which automatically sets up absence management triggers and notifications. We capture information about the reason for absence, work duties and anticipated return-to-work date. If the employee is triaged into further support, this is captured for a complete record.
Although managers are relieved from directly managing the absence, they are still included in the absent management process. When someone calls in sick, managers are immediately notified about the absence and given advice on supporting the employee. Including what to do if the employee doesn’t return as planned.
Each absence case remains open until the employee is back at work. If this doesn’t happen, managers are given the option to raise a management referral to signpost the employee into occupational health. This is to develop a more detailed understanding of what’s driving the absence so appropriate next steps can be taken.
Anonymised management information on all absences, including presenting issues and recovery time, is shared to provide valuable insights. This can be used to identify pockets of absence and the issues employees are struggling with to inform absence management strategies.
As well as helping you to gather and interpret staff absence management data, we can also help you create a strategy to reduce absence. This could include strategies for getting employees to seek help sooner, new treatment pathways, policy writing and training for managers.
